Contract agreement
By booking or participating in a tour with TravelAI, you agree to these Terms and Conditions, which form a binding agreement between you and TravelAI. These terms apply to all tours and activities arranged by TravelAI.
Validity
These terms and conditions are valid from the date of publication until they are updated or replaced. The conditions applicable are those in effect at the time of booking.
Deposit Requirement
Full payment deposit is required at the time of booking to secure your reservation. The amount of the deposit will be specified at the time of booking.
Final payments
The final payment for your tour is due 7 days prior to departure, unless otherwise specified. If the final payment is not received by the due date, TravelAI reserves the right to cancel your booking.
Customer Details
Accurate customer details, including name, contact information, and any relevant medical conditions, must be provided at the time of booking.
Cancellation by Traveler
If you cancel your tour more than 24 hours before departure, you can do so without incurring a cancellation fee, subject to the supplier's terms and conditions. However, if you cancel a tour that was booked 7 days prior to the departure date, cancellation fees will apply as outlined at the time of booking. The closer the cancellation is to the departure date, the higher the cancellation fee
Cancellation by TravelAI
TravelAI reserves the right to cancel a tour for any reason. In such cases, you will be offered a full refund or the option to transfer to an alternative tour.
Booking Amendments
Any amendments to your booking must be requested in writing. Amendments may incur additional charges, depending on the nature of the request.
Inclusions
Your tour includes accommodations, transportation, meals, and activities as specified in your itinerary. Any inclusions will be detailed in the tour package.
Exclusions
The tour price excludes personal expenses, travel insurance, visa fees, and other items not explicitly stated as included.
Prices and Surcharges
All tour prices are subject to change due to currency fluctuations, fuel surcharges, or other factors. You will be notified of any price changes prior to the final payment.
Age and Health Requirements
Participants must meet the specified age and health requirements for the tour. TravelAI reserves the right to refuse service to anyone deemed unfit for the tour.
Small Groups
Some tours are typically conducted in small groups. If the minimum group size is not met, the total charge must be paid by the available group, or TravelAI reserves the right to cancel the tour. If a group exceeds the maximum number of participants, TravelAI will not be responsible for the additional members; this will be subject to the supplier's terms and conditions.
Passports and Visas
It is your responsibility to ensure that you have a valid passport and any necessary visas for the countries you will be visiting.
Travel Insurance
Comprehensive travel insurance is mandatory for all participants. Your insurance must cover personal injury, medical expenses, and emergency evacuation.
Flexibility
The itinerary provided is subject to change due to unforeseen circumstances, including weather, road conditions, or other local factors.
Authority on Tour
During the tour, your guide’s decisions regarding the itinerary and safety are final. You agree to always follow the guide’s instructions.
Acceptance of Risk
You acknowledge that participation in the tour involves a degree of risk, including injury, disease, or death. You voluntarily accept all such risks.
Liability
TravelAI’s liability is limited to the amount paid for the tour. We are not liable for any indirect or consequential losses.
Optional Activities
Optional activities not included in the tour price are undertaken at your own risk. TravelAI is not responsible for the quality or safety of these activities
Claims and Complaints
Any complaints must be made in writing within 45 days of the tour’s conclusion. Claims made after this period may not be considered.
Privacy Policy
Your personal information will be used in accordance with our privacy policy, available on our website.
Jurisdiction
These terms and conditions are governed by the laws of Sri Lanka. Any disputes arising from these terms shall be resolved in the courts of Sri Lanka.
Force Majeure
TravelAI is not liable for any loss or damage resulting from events beyond our control, including natural disasters, pandemics, or other force majeure events.
Payment Methods
Payments can be made via credit card, bank transfer, or other methods as specified at the time of booking. Any associated fees will be clearly stated
Special Requests
Any special requests, such as dietary restrictions or accommodations for disabilities,must be communicated at the time of booking. We will do our best to accommodate, but we cannot guarantee all requests.
Accommodation Standards
Accommodation is provided as specified in the itinerary. The standard of accommodations may vary depending on the location.
Transportation Conditions
Transportation included in the tour will be detailed in the itinerary. TravelAI is not responsible for any delays or changes to transportation schedules
Guides and escorts
Your tour may include professional guides and escorts. The availability and qualifications of guides will be stated in the tour details. Additional charges requested by the service provider for any addition requirements must be negotiate with the supplier. TravelAI is not responsible for additional requirements beyond the booking.
Legal Compliance
TravelAI ensures compliance with all relevant international travel regulations and standards
Severability Clause
If any part of these terms and conditions is found to be unenforceable, the remaining terms will continue to apply.

These terms and conditions may be updated from time to time. The most current version will always be available on our website.
